Your bot, your knowledge, your team — not public.
Set any bot to private and give access only to your team. Marketing guidelines, sales playbooks, HR processes, onboarding wikis, OKR plans — zep answers from your internal knowledge, in your language, for invited members. Outsiders see only the login page.

Internal knowledge is everywhere — and nowhere
Notion, Slack, Drive, Confluence, people's heads
You search for two hours because the onboarding doc is in Notion, the process guide in Confluence, the brand guideline in Drive and the rest in Anna's head — and she's off today.
"Who can explain again how we do XY?"
Experienced staff become live search engines for new colleagues. Senior time burns on routine explanations instead of real work.
ChatGPT doesn't know you
A generic language model knows nothing about your business, your tone, your customers, your strategy. Answers sound like they're from a marketing book — not like you.
A bot that knows your company
Knowledge everyone can find
Instead of searching through five tools, the team asks the bot. Answers come in seconds, with a source from your own docs — whether it's 11 p.m. or Anna-is-on-vacation.
Onboarding without senior burnout
New hires get answers about tools, processes and standards on their own. Senior colleagues step in only where real experience is required.
Marketing & sales consistency
Brand voice, personas, pricing logic, objection handling — everyone pulls in the same direction because everyone answers from the same source. Even in rushed pitch situations.
What zep can do in team-internal use
Private mode with member login
Bot login for invited members only. Owners & admins add people via email + password. Outsiders see only a login splash with your branding — no content.
Marketing brain
Brand guidelines, tone, personas, campaign briefs, competitive analyses, content calendar. zep writes copy in your style — not in LinkedIn buzzword bingo.
Sales enablement
Pitch decks, battlecards, ICP descriptions, pricing logic, objection handling. Fresh reps become productive in days instead of weeks because the knowledge is on call.
HR & onboarding
"How do I request time off?", "Which tools do I need?", "Who's responsible for X?" — new hires get answers themselves instead of flooding buddy Slack threads.
Strategy & planning
OKRs, roadmap docs, ADRs, quarterly reviews. Leadership asks its own archive: "What did we decide in Q2 about going international?" — answer in seconds with the original source.
EU hosting & GDPR
Platform hosting in the EU (Hetzner, Germany). No training of public models with your knowledge. DPA under Art. 28 GDPR on request. SSO and audit logs available on request from the Business plan.
What teams ask their internal bot
Six typical use cases, one knowledge base, one bot — and the questions every team has.
- What's our tone for B2B LinkedIn posts?
- Which objection responses do we have for "too expensive" in mid-market?
- How do I request time off and who needs to approve it?
- What are our Q3 OKRs and which owner belongs to each?
- How does our monthly close work in accounting?
- Which tech stack is in use on which project?
- What did we decide about pricing in the last strategy review?
From scattered knowledge to a unified bot
You don't need new documentation. zep reads what you have — and makes it usable.
Connect your sources
Notion workspace, Confluence space, Google Drive folder, Markdown repos, PDFs, sales decks. zep consolidates and keeps the structure.
Set the bot to private
Enable private mode in the "Access" tab. Outsiders see only the login page, logged-in members chat directly.
Invite members
Add them manually via email + password or as a bulk list. On their first login, members accept the legal disclaimer page.
Tone & escalation
Formal or casual, escalation routing to a Slack channel or email. You decide when zep answers and when it brings humans in.
Common questions about private team bots
Does our knowledge really stay private?
Yes. Private bots are accessible only to logged-in members; outsiders see merely a login page with your branding. Your content is not used to train public models, platform hosting is in Germany, DPA on request.
How do private bots differ from ChatGPT for companies?
ChatGPT doesn't know your business. zep reads your actual docs — brand guidelines, sales playbooks, OKRs, onboarding wikis — and answers from them with a source. Instead of a smart general tool, you get a bot that knows your company.
Can we have several private bots for different teams?
Yes. The Pro plan from 69 euros per month allows multiple bots — e.g. a marketing bot, a sales bot and an internal knowledge bot, each with its own knowledge base and its own members. Business from 149 euros for unlimited bots, SSO and audit logs.
How do I manage who has access?
In the "Access" tab you enable private mode, add members via email + password and remove them at the click of a button. On leaving, the account loses access immediately. Owners & admins see audit lists of all members.
What if the bot can't answer a question?
zep explicitly says it isn't in the knowledge base instead of guessing. You get a list of all unanswered questions — perfect for filling gaps in your docs deliberately instead of writing blindly.
Can we use the bot via Slack / Microsoft Teams?
A web widget with login protection is standard. Slack and Teams integration are available on request via the Business plans; until then a browser-tab solution with a quick login per session is enough — most teams work productively that way.
Make your knowledge available team-internally.
Try zep for 14 days as a private bot. Maintain knowledge once, answers for every team member — whether it's 8 a.m. or 11 p.m.
